At Wanderivatrix LLC, we understand that travel plans may change. This Refund Policy outlines the terms and conditions governing cancellations, modifications, and refunds for our bespoke travel services. By booking with us, you acknowledge and agree to these terms.
We strive to provide flexibility while ensuring fair treatment for all clients and our network of premium travel partners.
Cancellation Timeline & Refund Eligibility
Refund eligibility is determined by the timing of your cancellation request relative to your scheduled departure date:

Non-Refundable Components
Certain travel services are inherently non-refundable due to supplier policies. These may include:
- Airline tickets (especially discounted, business, or first-class fares)
- Private villa or boutique hotel reservations with strict cancellation terms
- Exclusive experiences (private guides, charter services, event tickets)
- Visa processing fees and travel insurance premiums
- Custom itinerary design fees (paid upon engagement)
Our team will clearly disclose any non-refundable elements before finalizing your booking.
Modifications vs. Cancellations
Changes to Your Itinerary: Requests to modify dates, destinations, or services are treated as cancellations of the original booking and creation of a new one. Applicable cancellation fees and price differences will apply.
Credit Option: In lieu of a cash refund, clients may elect to receive a travel credit for future Wanderivatrix services, valid for 18 months from the original booking date. Administrative fees still apply.
Travel Insurance Recommendation
We strongly recommend purchasing comprehensive travel insurance at the time of booking. A quality policy can protect your investment against:
- Trip cancellation or interruption due to illness, injury, or family emergency
- Unforeseen events (natural disasters, political unrest, pandemic-related restrictions)
- Lost baggage, medical emergencies, or evacuation needs
Wanderivatrix is not liable for losses that could have been covered by travel insurance. We can provide reputable insurance partners upon request.
Force Majeure & Extraordinary Circumstances
In the event of circumstances beyond our reasonable control—including but not limited to acts of God, war, terrorism, civil unrest, government travel restrictions, pandemics, or natural disasters—Wanderivatrix LLC shall not be liable for failure to perform services.
Refunds in force majeure situations will be determined on a case-by-case basis, contingent upon recoveries from third-party suppliers. Any recovered funds, minus administrative costs, will be returned to the client.
Supplier Cancellations
If a third-party supplier (airline, hotel, tour operator) cancels a component of your itinerary:
- We will endeavor to secure comparable alternatives at no additional cost
- If alternatives are unavailable, we will pursue refunds from the supplier on your behalf
- Wanderivatrix is not responsible for supplier insolvency or failure to deliver services
How to Request a Cancellation or Refund
All cancellation requests must be submitted in writing to info@wanderivatrix.com and include:
- Your full name and booking reference number
- Reason for cancellation
- Preferred resolution (refund or travel credit)
Cancellation is effective only upon written confirmation from Wanderivatrix LLC. Verbal requests are not binding.
Refund Processing
Approved refunds will be processed to the original form of payment within 14–30 business days. Please note:
- Bank processing times may cause additional delays
- Currency conversion fees may apply for international transactions
- Credit card charges may appear as pending before final reversal
Dispute Resolution
Any disputes regarding refunds or cancellations shall first be addressed through direct communication with our client services team. If unresolved, disputes shall be governed by the laws of the State of Colorado, USA, and subject to the exclusive jurisdiction of courts in Douglas County, Colorado.
Policy Updates
Wanderivatrix LLC reserves the right to update this Refund Policy at any time. Changes will be posted on our website with a revised effective date. Bookings are governed by the policy in effect at the time of confirmation.
